Submission Instructions
Academic Stream Submissions
[Updated for iLRN2027, v27.0, Sep 13, 2026]
Accepted submissions from the Academic Stream will be presented at the respective iLRN conference, either online or in person. All presentation formats require registration of at least one presenter in the respective registration category and before the author registration deadline. Presentation formats include oral presentations of different lengths, poster presentations, and oral presentations in the DC session. Below, you can find more information about the different types of submission.
All online presentations will also include the publication and distribution of a pre-recorded video through the iLRN YouTube channel, so that all online presenters are required to submit a video abstract prior to the conference (except Keynote and Featured Speakers, Invited Panelists, DC).
Types of Submissions
All Academic Stream submissions require the submission of a scientific paper that will go through a double-blind peer review process with independent reviewers. Based on these reviews, the Academic Program Chair team decides if the paper is going to be published in the respective proceedings, the submitted category, a different category, or rejected in its current form. All paper submissions have to include only original and unpublished work. There are two publication formats, depending on the submitted paper category (Full paper, Short paper, Extended abstract, or DC paper):

Springer CCIS Conference Proceedings publication acceptance will be decided by the Academic Program Chair Team based on the results of the independent peer review process with at least 3 reviews per paper. The Program Chairs will be following a 40 % acceptance rate in their decision process. The Springer CCIS Conference Proceedings will contain a minimum of 2/3 Full Papers.

Springer CCIS Conference proceedings use the LNCS format, so Academic Full and Short Papers must be prepared in the Springer LNCS format. These papers can be submitted until the Academic submission deadline. Note: The copyright document will be made available in the camera-ready phase, but will likely be based on the document you can find on the template website.
Springer Template and Author Instructions
Note: If solid paper contributions that do not qualify for Springer publication based on the peer review results and acceptance criteria are deemed highly relevant to the conference by the Program Chair team, an offer to publish in the iLRN Conference Proceedings may be made instead. The paper format will then have to be changed to the iLRN Conference Proceedings template.

Extended abstract
This includes but is not limited to submissions of work that is still in progress, describing early-stage research with theoretical background, methodology, and, if applicable, first data collections and a description of next steps, or completed work, condensed research concepts that may be read and understood within an hour.
All poster presentations will also include the publication and distribution of a pre-recorded video through the iLRN YouTube channel. |
Doctoral colloquium (DC) paper
Both doctoral level as well as master’s by research students/candidates are eligible to submit to the doctoral colloquium (DC). The DC will be held as a session in addition to the regular paper sessions, with students presenting their research to each other (in English).

iLRN Proceedings publication acceptance will be decided by the Academic Program Chair Team based on the results of the independent peer review process with 2 - 3 reviews per paper.
Self-published iLRN Conference Proceedings include individual DOIs per paper. They are published Open Access under a Creative Commons License (more information). Check out previous iLRN-published academic conference proceedings from iLRN2026, iLRN2025 and iLRN2024. The Open Access iLRN Proceedings are not indexed in Scopus, but in various other scholarly platforms (e.g., Google Scholar).
Extended Abstracts and DC papers and proposals must be prepared in the iLRN Proceedings paper format. These papers can be submitted until the Academic submission deadline.
Review criteria
Below, the review criteria for papers in the Academic submission stream are listed. For Extended Abstract and Doctoral Colloquium submissions, the submissions are not required to already be fully formed in all categories, but their potential has to be visible from the paper.
Contribution to Immersive Learning Research
How much does the submission contribute to research on learning, instruction, teaching or education with immersive technologies?
Originality and Innovation
How original and innovative is this contribution? How novel and unique are the proposed approach, methods, or ideas?
Methodological/theoretical rigor
Depending on the type of contribution (empirical or theoretical): How sound is the research methodology or theoretical contribution of this submission? For empirical work: are the experimental design, data collection, and analysis appropriate and well-executed? For theoretical work: are theoretical conclusions logically structured and coherent?
Claims/Conclusions
How valid, significant and appropriate are the claims and/or conclusion the authors make? Do they interpret and discuss the implications of their empirical results/theoretical conclusions and (if applicable) the limitations of their work?
Language and academic writing style
Is the text error free (spelling, syntax, grammar)? Is the text comprehensible to the academic community?
Anchored in relevant literature
How well is the paper anchored in relevant immersive learning research literature? Does it provide appropriate citation of related work in the field?
Compliance with style/formatting and referencing guidelines
Does the paper comply with the Springer LNCS template and guidelines (https://www.springer.com/gp/computer-science/lncs/conference-proceedings-guidelines/) or the iLRN template (https://publications.immersivelrn.org/index.php/academic/templates) depending on submission type?
Submission Instructions
Checklist
When preparing and before submitting your paper in EasyChair, please check all points in this list:
- Fit to iLRN conference theme: Please have a look at the Topic Areas listed on the conference's CfP page and confirm that your paper is in accordance with the iLRN conferences' general theme of learning with immersive technologies. During the submission, you will be asked to write a short statement about how your submission fits the iLRN conference theme.
- iLRN track allocation: Please have a look at the list of iLRN tracks to decide which track your submission fits best. See more information below on how to select your track in the EasyChair submission process. It will be used for peer review distribution and topical clustering in the program and proceedings. Fit to track is part of a pre-screening process and a paper might be moved to a different track if necessary.
- Building upon iLRN foundations: To allow the immersive learning community to grow on a solid, common basis, authors should read, refer to, and build upon existing immersive learning research, theoretical models, and frameworks. This is also an important criterion of the peer reviews. Link to previous iLRN proceedings
- For Work-in-Progress Extended Abstract submissions: If you submit an Academic Stream Extended Abstract, please clearly state in the abstract and the main text if it describes a submission of a Work in Progress for an informed peer review process.
- iLRN submission policies and ethics statements: Please examine closely and follow the iLRN plagiarism policy and the iLRN Ethics and Malpractice Statement for your submission. All iLRN submissions must be original, unpublished works. A plagiarism and duplicate publication check will be performed in the paper pre-screening.
- Template use: For the preparation of your manuscript, please use the correct template and follow the page number boundaries for your chosen submission type.
- Paper anonymization: Confirm that all information identifying the authors has been removed from the manuscript for double-blind peer review (do not fill in authors' names in the template, and make sure that self-citations do not reveal your identity). If accepted, you will be asked to add this information later in the camera-ready version of the paper.
Please be aware: papers that do not fit the topic of iLRN conferences, do not use the correct template or are not anonymized cannot be accepted for the peer review process and might be desk rejected.
All contributions will be accepted only via the online submission system Easy Chair (link below). Submissions will not be accepted via email. A double blind peer-review process will be used to evaluate all submissions, including independent 2 - 3 reviews per submission.
Submission tracks
Academic papers can be submitted until the Academic submission deadline (check Important Dates in the CfP). For submission, please access the EasyChair submission website. In EasyChair, you will find different tracks to submit to. These are structured based on the iLRN tracks. Please choose the track that is most in accordance with the topic of your paper. This structure is applied for peer review and reviewer invitations.
Once you have selected the track, you can then select your submission type (Full Paper, Short Paper, Extended Abstract, DC paper).

Doctoral Colloquium (DC)
[Updated for iLRN2027, v27.0, Sep 13, 2026]
Graduate students from across the disciplines are invited to join us at our annual Doctoral Colloquium (DC) which is part of the International Conference of the Immersive Learning Research Network. The Doctoral Colloquium session will take place at the online and/or the in-person part of the conference. A decision on this will be made based on the preferences of the participants.
The scope of the iLRN DC encompasses all areas of VR/AR/MR (XR) and immersive learning research, with contributions being peer-reviewed scholarly papers of 4 - 7 pages in standard Academic conference paper format, whose lead or sole author is a student. Both doctoral level as well as master’s by research students/candidates are eligible to submit to the DC.
Benefits of participation
The iLRN DC provides graduate-level students who are either planning to undertake or currently undertaking VR/AR/MR (XR) and immersive learning research as part of their studies with a platform to:

Build their networks by connecting with other scholars both synchronously through online and in-person sessions, as well as asynchronously through iLRN’s Discord server and social media groups/channels;

Obtain early visibility for their proposed and/or ongoing research;

Solicit constructive feedback on their work, with the feedback being provided by graduate students, for graduate students.
Alternatively, if you’re not ready to present, feel free to join us, meet other students and researchers and get feedback and support from the iLRN community!
Submission, Review and Publication
The Doctoral Colloquium is part of the Academic Stream of the conference. You can find the review criteria and submission instructions for Academic Papers, including DC papers, on the Academic Stream Website (link below). To apply for the DC, you have to submit a paper through the EasyChair system. In the EasyChair submission form, you can decide if you want your paper to be published in the iLRN Academic Proceedings. We warmly recommend publication, but it is optional for DC submissions. Prepare your final submission following the Camera-Ready requirements. Remember to follow all the steps and include

Preparing Your Camera-Ready Paper Version for

Follow the steps below to prepare your camera-ready submission.
The instructions below pertain only to FULL AND SHORT PAPERS in the Academic Stream submitted via EasyChair that have been accepted for the Springer Proceedings of the iLRN2026 conference following the peer-review process. We are not accepting new submissions at this stage.
STEP 1. Reinstate any information previously removed for double-blind peer-review
This includes:
IMPORTANT: After the camera-ready documents are submitted to the publisher it will not be possible to change any of these details.
STEP 2. Address the reviewers’ feedback and proofread the paper to eliminate spelling, grammatical, punctuation, and other errors
Please revise your paper considering the reviewers’ feedback. Document your changes and your response to each point raised by the reviewers and an indication of what action was taken as a result in the Camera-Ready Submission Checklist and the Responses to Reviewers Form (see step 4). This document is required for your contribution to be included in the proceedings.
Please perform thorough proofreading to ensure that your final paper is free of language and typographical errors prior to submission. Corrections after you submit your paper won’t be accepted.
For papers that have not originally been submitted in English: If you would like to publish your paper in the proceedings, it is necessary that you submit an English version of your paper by the Camera-Ready Version deadline, while also addressing the reviewers' feedback. Please let us know if you have any questions about this process.
STEP 3. Check the paper for compliance with Springer CCIS publisher style and referencing guidelines
- If you are using the Microsoft Word® version of the template, please use a fresh copy of the template for reference to the instructions and examples that it contains, even if the original paper submitted for review was already prepared using the above Microsoft Word® template. Compare it side-by-side with your paper to make sure each element is formatted exactly as it should be.
- If you are using the LaTeX version of the template, follow the instructions provided by the publisher included in the ZIP LaTeX download (llncsdoc.pdf) and make sure each element is formatted exactly as it should be.
- If you are using the Overleaf version of the template, make sure you follow the template as provided. For any doubt on formatting or referencing, follow the recommendations of the LaTeX template version.

Important Notes
- The use of any other templates is not acceptable as there are subtle differences between other templates (e.g. journals, magazines) and the conference template that will affect the consistency in the appearance of contributions published in the proceedings.
- Do not change the paper size or margins in the template. If your text goes beyond the allocated number of pages for your contribution (see page lengths below) please edit the content to fit in. Changing the paper size or margins will only delay the process of submission as you will be asked to restore the margins and edit your content.
- The headers and footers must remain empty. (They should not contain page numbers or anything else!)
- Formatting of the paper must be done using the predefined styles in the template, rather than manually. The paper must use all the predefined font styles, sizes, etc. as per the template. If you have any doubts please refer to the template instructions document "Instructions for proceedings authors (pdf)" on the website above.
Page lengths must fall within the stipulated page ranges for their relevant submission category (inclusive of any tables, figures, references, and appendices) as listed below:
- Full paper: 12 to 15+ (max. 18!) pages (Springer LNCS format)
- Short paper: 8 to 11 pages (Springer LNCS format)
NOTE: If the paper does not adhere fully to the style/formatting and referencing/citation requirements, it may be REJECTED by publication. Please check—and double or triple-check—that you have followed all of the instructions and examples in the template!
STEP 4. Complete the Camera-Ready Submission Checklist
The Camera-Ready Submission Checklist and the Responses to Reviewers Form will need to be completed and uploaded to our conference submission system (EasyChair) along with your camera-ready paper later, in step 6.
- On the first and second page, add your Paper ID (the one you were given by our conference submission system -EasyChair- when you submitted your paper for peer review) and Title, and work your way through the checklist and ensure that each requirement has been fully met.
- On the third page, complete the table to show how you have addressed each of the issues/concerns raised by the Program Chairs and reviewers in their feedback (which you should have documented in step 2)
- After the table, please add the authorship contributions based on CRediT (Contributor Roles Taxonomy) https://credit.niso.org/
STEP 5. Complete and sign the copyright form / author agreement
Download the copyright form, complete it and sign it. The copyright form allows Springer to publish your paper in the proceedings and index it. If you do not complete this step they will not be able to publish your paper.
Please make sure you add the title of your paper ("Proposed Title of the Contribution") and include all the authors’ names and corresponding author name.
- Sign and fill the remaining details at the end of the document.
- Do not edit the text of the document beyond the fields in which you are supposed to fill in your data.
Important Notes
- Please consider the environment—there is no need to print the copyright form! The form can and should be completed and signed electronically (with valid electronic signatures). It is strongly recommended that you use Adobe Reader (free) for this purpose.
- Mac users: Please do not use the Preview app since when it opens in a Windows machine signatures cannot be seen and this will delay (or even halt) the publication of your paper.
STEP 6. Upload your camera-ready paper and accompanying files to EasyChair
Your final submission must be uploaded to our conference submission system (EasyChair), no later than the camera-ready deadline. Please see the iLRN 2026 Important Dates for the official conference deadlines.
Your submission MUST consist of the following 4 files:
- PDF version of your camera-ready paper.
- Editable version of your camera-ready paper (Microsoft Word®, LaTeX or Overleaf). If you used LaTex or Overleaf, please include all the files and folders used in a .zip file and upload this (include all .tex and .bib files, images used and related files). Failing in doing so will delay publication of your paper.
- Your completed Camera-Ready Submission Checklist and the Responses to Reviewers Form (Step 4 of this list).
- Your completed and SIGNED Copyright Form (Step 5 of this list).
Please note that camera-ready submissions cannot be accepted via email.
Upload your documents to EasyChair
- To upload your documents login to EasyChair, and under the menu "Submission [Number]" got to the details page using the icon
in the column "View". - Once there, select the option "Add files" or "Update files" on the top right menu.
- This will take you to the uploads page
Important Notes
- Ensure the title, abstract, keywords and authors entered on the submission form in the conference’s EasyChair submission system are EXACTLY as they appear your camera-ready paper. (Copy and paste from the Microsoft Word® or LaTeX source file—not the PDF—into the web form.) Be aware that if there are discrepancies, there may be problems when we send your contribution to the publisher.

STEP 4. Complete the Camera-Ready Submission Checklist
The Camera-Ready Submission Checklist and the Responses to Reviewers Form will need to be completed and uploaded to our conference submission system (EasyChair) along with your camera-ready paper later, in step 6.
- On the first and second page, add your Paper ID (the one you were given by our conference submission system -EasyChair- when you submitted your paper for peer review) and Title, and work your way through the checklist and ensure that each requirement has been fully met.
- On the third page, complete the table to show how you have addressed each of the issues/concerns raised by the Program Chairs and reviewers in their feedback (which you should have documented in step 2)
- After the table, please add the authorship contributions based on CRediT (Contributor Roles Taxonomy) https://credit.niso.org/
STEP 5. Complete and sign the copyright form / author agreement
Download the correct copyright form based on your submission type, complete it and sign it. The copyright form is the document that allows us to publish your paper in our proceedings and index it in other places. If you do not complete this step we will not be able to publish your paper.

- Please make sure you add the title of your paper ("Proposed Title of the Contribution") and include all the authors’ names and corresponding author name.
- Sign and fill the remaining details at the end of the document.
- Do not edit the text of the document beyond the fields in which you are supposed to fill in your data.
Important Notes
- Please consider the environment—there is no need to print the copyright form! The form can and should be completed and signed electronically (with valid electronic signatures). It is strongly recommended that you use Adobe Reader (free) for this purpose.
- Mac users: Please do not use the Preview app since when it opens in a Windows machine signatures cannot be seen and this will delay (or even halt) the publication of your paper.
STEP 6. Upload your camera-ready paper and accompanying files to EasyChair
Your final submission must be uploaded to our conference submission system (EasyChair), no later than the camera-ready deadline. Please see the iLRN 2026 Important Dates for the official conference deadlines.
Your submission MUST consist of the following 4 files:
- PDF version of your camera-ready paper.
- Editable version of your camera-ready paper (Microsoft Word® or Overleaf). If you used Overleaf, please include all the files and folders used in a .zip file and upload this (include all .tex and .bib files, images used and related files). Failing in doing so will delay publication of your paper.
- Your completed Camera-Ready Submission Checklist and the Responses to Reviewers Form (Step 4 of this list).
- Your completed and SIGNED Copyright Form (Step 5 of this list).
Please note that camera-ready submissions cannot be accepted via email.
Upload your documents to EasyChair
- To upload your documents login to EasyChair, and under the menu "Submission [Number]" got to the details page using the icon in the column "View".
- Once there, select the option "Add files" or "Update files" on the top right menu.
- This will take you to the uploads page
Important Notes
- Ensure the title, abstract, keywords and authors entered on the submission form in the conference’s EasyChair submission system are EXACTLY as they appear your camera-ready paper. (Copy and paste from the Microsoft Word® or Overleaf source file—not the PDF—into the web form.) Be aware that if there are discrepancies, there may be problems when we send your contribution to the publisher.
